Run A Charity Ball

Party for a good cause at a charity ball.


Used by many types of nonprofit and special-interest organizations to raise money for their specific causes, the charity ball is a very effective fund-raising tool. Not only do guests get the pleasure and satisfaction of donating to the cause, they get to rub shoulders with those involved in an intimate celebratory setting. Throw a charity ball to not only raise money for your cause or organization but to gain exposure, give thanks to donors and have fun.


Instructions


1. Find an appropriate event space to throw your charity ball. You will want to do this first so you know the capacity, the price and the capabilities for live entertainment, such as sound system and stage size.


2. Contact live bands or professional DJ's. Get price quotes and performance lengths and details from each band or DJ.


3. Contact caterers. Get price quotes and menu options as well as details about what types of other services they may provide, such as waiters, bartenders and cleaning crews.


4. Do some math. Figure out how much you would like to raise. Figure out how much throwing the charity ball is going to cost. Decide on a price point for tickets that will cover all costs of the function.


5. Set up your auction. Contact local businesses and inform them that you are throwing a charity ball for your cause. Ask them for donated items or services in exchange for free publicity at the charity ball and on the fliers. Restaurants, hotels, shops, spas and arts organizations are all good candidates for donated items and services.


6. Book your event space, musical performers and catering company.


7. Print invitation fliers. Include entrance information, dress code and general info on your cause or organization.


8. Invite your guests. Include members of your organization and prominent members of the community. Ask for RSVP's from all to help ensure pre-payment of tickets.


9. Place an advertisement in the local classifieds for volunteers to help run the charity ball.


10. Assign volunteers duties like working the front door and cleaning up during the event.


11. Decide on starting bids for all auction items.


12. Write a speech that outlines the mission and purpose of your organization. Deliver the speech midway during the festivities, after most guests have arrived and before any have left for the night.
